Most companies don't decide to outgrow their off-the-shelf software. It happens quietly — one workaround at a time — until a spreadsheet is doing the job of an application, and nobody remembers exactly why.

Here are five signs it's time to have the custom software conversation.

1. Your team maintains a "shadow system"

If critical decisions run through a spreadsheet, a shared doc, or a personal Notion page that exists outside your official software, that's not a workflow quirk — it's a sign your tools don't match how the business actually operates.

2. You're paying for features you'll never use

Off-the-shelf platforms are built for the average customer, which means most of what you're paying for was never built for you. Custom software flips that ratio: every feature exists because your team asked for it.

3. Integrations feel like duct tape

Zapier chains six steps long, nightly CSV exports, someone manually re-keying data between two systems — these are symptoms of tools that were never designed to talk to each other in the first place.
